Managing the creation and distribution of documents in the ERP

A company using Movex/ M3 creates thousands of documents. The documents are printed, mailed, archived, sent by EDI etc. to hundreds of different recipients. The documents need to be adapted after language, legislation, division etc. This leads to a very complex process with modifications in M3/ Movex as well as scripts and modifications in Streamserve. Performing changes becomes risky in such a complex environment, simple tasks as changing an printer or changing footer requires an expert.

On average about 40% of the modifications in M3/ Movex are related to Output management.

The Accure way

The a3 Advanced Document Solution (a3ADS) is a collection of software’s designed to bring overview to the Output management process and exchange modifications in M3/ Movex to configurations in a3 ADS.

In the a3 ADS all streamfiles are collected and stored from M3 in the a3 Streamfile repository. The Streamfiles can also be split to individual documents, if this is done individual documents can be monitored and resent etc.

Additional information is amended from M3/ Movex and/ or other sources if needed to the streamfile.

In the a3 Configurator all condition handling is managed in a transparent fashion, basically removing the need for scripting in Streamserve. For example conditions can be set for Ovelays, footers, logo’s etc. All conditions/ rules are searchable and viewable directly for all documents in the system.  It also allows for handling languages on multiple dimensions, for example division, facility, document etc without modifiying M3/ Movex.

It is possible to have division unique versions of documents.  For example only install changes in one division even thou other changes are made for other divisions which are not yet approved. One change can affect many documents, not need to do update in several Streamserve environments.

Printers can be managed centrally with an overview and flexible interface directly within a3.
